Conditions and Function Requirements

Conditions
The Art Gallery of Western Australia works to international accepted standards of care for all the collections displayed within its buildings. Security is throughout the building in order to maintain this safeguard at all times.
The requirements listed below are determined to safeguard artworks on display as well as ensure the smooth running of your function.

Security
The function coordinator and security supervisor are in charge of the function and represent the art gallery on all decisions. If gallery staff / security supervisor regard something that is going on as a potential risk to any artwork they will act accordingly and their requests must be adhered to, otherwise it may result in the function being closed down.
If the client requires security or crowd control staff to guard external entries to the Gallery they are required to use the galleries security contractors. Any such costs will be additional to the venue hire fee.

Payment
A deposit must be paid before bookings can be confirmed. This deposit is non-refundable should you cancel your function. Payment of your booking fee is deemed full acceptance of all terms and conditions outlined below.
Payment in full must be made at least 21 days prior to the function date. The hire fee is non-refundable if a function is cancelled within 14 days of the event-taking place

Entertainment
The Functions Coordinator must be advised of any entertainment that will be taking place during the function. Care has to be taken where dancing and extreme noise levels are concerned, as they are a risk to the Collection.

Deliveries and Collections
All delivery collections after the function must be done between 8-9.30am am the next day and admittance for this is through the security entrance. Times outside this need to be advised as access may be refused.
Admission to the Gallery outside the normal opening hours of 10-5pm must be made by prior arrangements. Names of entertainment, staging companies, photographers, beverage delivery and any other outside sources that will attend the function need to be advised of at least 7 days prior to function date and informed as to arrival times to ensure Security procedures are followed. Entry is through Roe Street loading bay.

Smoking
Smoking is not permitted inside the premises. It is only allowed in outdoor areas.

Photography
Photography unless previously arranged is not permitted within galleries.

Damage and Guest Access
Damage to the building or property of the Gallery will be the responsibility of the client and will be charged at replacement or repair costs.
Guests are permitted only in designated function areas. Security supervisors have the authority to shutdown the function and ask a guest to leave, if it is thought that the collection is at risk.

Parking
Parking in Gallery Staff Car Park and surrounding City of Perth car parks is the responsibility of the driver and AGWA accepts no responsibility for closing times or damage to cars.

Flowers and Candles
Only flowers from commercial florists may be brought into the building. Candles can be used, but not lit.

Risk
Users will indemnify the Gallery against all claims for whatever reason. Where the activity is open to the general public, the user will take out third party liability insurance and are required to provide the Gallery with a certificate of currency from the issuer.

Additional Charges
Every endeavour is made to maintain the hire fees as printed, but prices are subject to change without notice.
A charge will be incurred where the function continues past the designated conclusion time. When the activity has concluded, any additional cleaning deemed to be necessary would be at the expense of the user.

Use of Gallery Staff
With regards to any special requests that may require gallery staff to work on things, (eg. moving sculptures, placing banners on walls, moving existing lighting etc) a minimum of 7 working days notice is required for crew/conservation. Their assistance should not be assumed. Functions during the Gallery opening hours (10am - 5pm) need the permission of the Director.

Catering
Only those caterers on the Art Gallery's approved list may be used. Admission for catering staff and equipment can only be obtained with prior notification of staff names and arrival time 2 working days before the function. Admission is through the Security Entrance/Loading bay on Roe Street and all catering staff should enter this way. Entry may be refused if these procedures are not followed.
With regards to beverage deliveries Gallery / Security staff are not responsible for moving this in and out of the coolroom. Arrangements must be made with those delivering/collecting the beverage to be prepared to deliver direct to the coolroom.
If the client is arranging their beverage they must organise that delivery/collection is direct to the coolroom. Set up time usually takes place from 4pm on the day of the function. Bump out is at the conclusion of the function. Arrangements outside of these times are usually possible, but must be organised through the Functions Coordinator.

Unusual Requests
The Functions Coordinator needs to be advised of any unusual requests that may affect the Gallery's security requirements smoke alarms etc and their use approved by AGWA prior to the function. Every endeavour will be made to meet these requests.
